Introduction

Welcome to Afiwi Groove School. By accessing our website, registering for a program, attending a class, participating in an event, or using our services, you agree to these Terms and Conditions.

Afiwi Groove School is a federally incorporated nonprofit community arts and culture organization based in Durham Region, Ontario. We provide African and Caribbean dance, drumming, cultural education, youth programs, community events, workshops, and related arts programming.

Programs and Services

Afiwi Groove School offers dance, drumming, cultural arts, workshops, performances, camps, events, space rentals, and community partnership opportunities. Program details, schedules, fees, instructors, locations, and availability may change when necessary due to enrollment, staffing, facility availability, weather, safety, or operational needs.

Afiwi will make reasonable efforts to communicate important program changes to participants, parents, guardians, and registered families.

Registration

Participants must register through Afiwi’s approved registration process and provide accurate, complete, and up-to-date information. For children and youth, registration must be completed by a parent or legal guardian.

Parents, guardians, and adult participants are responsible for ensuring that contact information, emergency contact details, medical notes, accessibility needs, and other registration information remain current.

Payments and Program Fees

Program fees, registration fees, showcase fees, camp fees, event fees, and other applicable charges are listed on Afiwi’s website or registration platform. Payments must be completed according to the payment terms provided at the time of registration.

Failure to complete required payments may result in delayed registration, suspension from participation, or removal from a program until payment arrangements are resolved.

Afiwi Groove School is a nonprofit organization. Program fees help support instructors, facilities, insurance, administration, equipment, cultural arts programming, student development, and access to community-based arts programs.

Refunds, Cancellations, and Missed Classes

Refunds, credits, transfers, or cancellations are subject to Afiwi’s refund policy and the terms provided at the time of registration.

Missed classes, late arrivals, or non-attendance may not automatically qualify for a refund or credit. Where possible, Afiwi may offer make-up options, credits, or alternative arrangements, but these are not guaranteed and may depend on program availability.

Code of Conduct

Afiwi is committed to creating a safe, respectful, inclusive, and welcoming environment for participants, families, staff, volunteers, instructors, and community members.

Participants, parents, guardians, and guests are expected to behave respectfully, follow staff and instructor directions, use appropriate language, respect the space and property, and support the safety and dignity of others.

Afiwi Groove School reserves the right to remove or suspend any participant, parent, guardian, or guest whose behaviour is unsafe, disruptive, discriminatory, threatening, disrespectful, or inconsistent with Afiwi’s values and community standards.

Health, Safety, and Participation

Dance, drumming, movement, performance, and related activities may involve physical activity. Participants are responsible for participating within their abilities and informing Afiwi of any medical, physical, accessibility, or safety concerns that may affect participation.

For children and youth, parents or guardians are responsible for providing accurate medical, allergy, emergency contact, and accessibility information during registration.

Afiwi will take reasonable steps to provide a safe environment; however, participation in physical, cultural, recreational, and performance activities carries some risk.

Liability

To the fullest extent permitted by law, Afiwi Groove School, its directors, staff, instructors, volunteers, partners, and representatives are not responsible for injury, loss, damage, or expense arising from participation in programs, events, activities, or use of facilities, except where caused by negligence or misconduct.

Participants, parents, and guardians are responsible for personal belongings brought to Afiwi programs, classes, events, and facilities.

Media, Photos, and Video

Afiwi may take photos or videos during classes, programs, events, performances, and community activities for documentation, reporting, promotional, educational, or grant-related purposes.

Where required, Afiwi will request consent before using identifiable images of children, youth, or participants in public-facing materials. Parents, guardians, and participants may contact Afiwi if they do not wish to be photographed or recorded.

Website Use

The content on Afiwi’s website is provided for general information about our organization, programs, events, and community activities. Afiwi makes reasonable efforts to keep information accurate and up to date, but website content may change without notice.

Users agree not to misuse the website, attempt unauthorized access, submit false information, or interfere with the website’s operation.

Third-Party Platforms

Afiwi may use third-party platforms for registration, payment processing, communications, analytics, automation, and program management. These may include platforms such as Wix, Dance Studio Pro, Google Analytics, Google Tag Manager, Zapier, payment processors, email tools, and other service providers.

Use of third-party platforms may be subject to their own terms, privacy policies, and security practices.

Privacy

Afiwi collects and uses personal information in accordance with its Privacy Policy. By using the website, submitting forms, registering for programs, or participating in activities, you agree to the collection and use of information as described in Afiwi’s Privacy Policy.

Changes to These Terms

Afiwi Groove School may update these Terms and Conditions from time to time. Updates will be posted on this page with the revised date. Continued use of the website or participation in Afiwi programs after changes are posted means you accept the updated terms.

Charitable Trusteeship Partner

Afiwi operates in partnership with Community Development Council Durham (CDCD) under a formal trusteeship agreement. Afiwi remains an independent non-profit organization and is not itself a registered charity.

CDCD is a registered Canadian charity: 130979826RR0001. Official donation receipts may be issued by CDCD for eligible gifts processed under the partnership agreement.
